Accounting Assistant - Foreign Accounts Payable

About the role

This role manages foreign accounts payable transactions and supports inventory costing so that financial reporting is accurate, regulatory compliance is met and foreign supplier obligations are settled on time. It supports the Accounting Department by keeping supplier records accurate, allocating landed costs correctly and complying with banking and trade requirements for foreign payments.

Key responsibilities

• Process and verify foreign supplier invoices, create and maintain supplier accounts in ERPNext, request and reconcile supplier statements, and prepare payment schedules for approval
• Prepare and submit USD allocation requests by the 15th of each month, process foreign currency payments according to banking procedures, and submit Bills of Lading to the bank within 30 days of payment
• Retrieve landed cost data from Logistics, allocate landed costs using the approved Excel template, enter approved vouchers in ERPNext, and support stock reconciliation and adjustment entries
• Reconcile foreign supplier accounts monthly, investigate discrepancies, assist with credit card and bank reconciliations, and keep the Accountant informed of significant issues
• Maintain reports and schedules, support month-end closing, and coordinate with Logistics, Warehouse and Operations
• Support process improvements, audit requests and other duties assigned by the Accountant or Management

Required profile

• Degree in Accounting, Finance or a related field, or Level 2 ACCA qualification
• At least two years of experience in Accounts Payable with exposure to foreign transactions and inventory costing
• Experience using ERP systems (ERPNext preferred)
