Document Control Assistant

About the role

The Document Control Assistant supports the accurate management, scanning and distribution of company records. You will ensure that all documents submitted by branches meet quality standards and are properly logged in the electronic document system.

Key responsibilities

• Scan, classify and verify all transmittals and documents using Teleform.
• Check each scanned file for visibility and legibility on the EDM/Workstation platform.
• Highlight and record any errors, notify the originating branch and log errors daily.
• Stamp transmittals, email them to branches, and collate daily batches for Records Management.
• Prepare and submit daily reports, update signed scripts on POLM, and provide monthly performance reports.
• Respond to internal and external queries within customer‑service timelines and ensure all correspondence is uploaded to EDM.
• Communicate issues to the Team Leader and perform any additional tasks as assigned.

Required profile

• Minimum 5 CXC/CSEC passes including Mathematics and English.
• At least 2 A’ Level/CAPE passes.
• 2 years of clerical or administrative experience.
• Self‑motivated, able to work under pressure and take initiative.
• Strong written and oral communication skills.

Required skills

• Proficiency with Teleform scanning software.
• Experience using an Electronic Document Management (EDM) system.
• Ability to verify document quality and maintain accurate logs.
